What type of data storage are you interested in?


What is the FSS Storage?
The FFS Storage is the Faculty of Behavioral and Social Sciences dedicated storage environment. The FSS Storage can be used to store large amounts of data for research projects and student projects. It also offers a read-only storage environment for published data. The FSS Storage is only accessible if you have a Solis-ID of the Utrecht University.



Common issues with the FSS Storage
Below you will find a list of common issues with the FSS Storage.


Unable to establish a connection with the FSS Storage
Please contact the office IT by calling (+31) 030 253 4500 or create a ticket in TOPdesk. In TOPdesk go to Workplace & Work area -> Mobile Working (VPN) -> Mobile Working: New call and fill in all the necessary details.



How to connect to the FSS Storage with Windows

  1. Make sure you're connected to the internet with an Ethernet cable in your office or by VPN on WiFi. If you are working on a lab desktop you also need to connect to the VPN to access the FSS storage.
  2. In Windows Explorer, click ‘This PC’
  3. Right Click on 'This PC', then on “Map network drive..”.
  4. Select the preferred letter for the FSS Storage, easiest is to choose the O:.
  5. Use the following address in Folder: \\soliscom.uu.nl\uu\data
  6. Click Finish
  7. Login using your (Solis-ID/studentnumber)@soliscom.uu.nl and solis-password.

How to connect to the FSS Storage with macOS

  1. Make sure you're connected to the internet with an Ethernet cable in your office or by VPN on WiFi. If you are working on a lab desktop you also need to connect to the VPN to access the FSS storage.
  2. Click on Finder or on an empty space on your desktop
  3. Next press command (⌘) + k to open the connect-to-server dialog box
  4. In the 'Connect to server' dialog box, type: smb://soliscom.uu.nl/uu/data/research
  5. Press Connect*.
  6. Login as a registered user, using your (Solis-ID/studentnumber)@soliscom.uu.nl and solis-password
  7. You will now have access to your storage via Finder.

*You can press the + symbol to store the network location for later use.



What is YoDa?
Your Data, or YoDa, is an encrypted storage location aimed at safely storing your research data. YoDa provides a way to store, manage, share, secure, add metadata, publish your research data and collaborate with external parties (by using email addresses). Using YoDa is recommended when storing large amounts of personal information such as interview transcripts or video footage. To request YoDa storage, please fill in the form below.



Common issues with YoDa
Below you will find a list of common issues with YoDa.


Not enough space on (name of YoDa folder)
When uploading data to YoDa it is possible to get an error stating that the storage limit for your YoDa folder had been met. This error is incorrect since there is no storage limit on the YoDa storage. Errors regarding a lack of space are caused by limited disk space on the desktop or laptop used to upload the data. As a workaround you can try to upload the same documents in smaller batches.


SolisWorkspace
Unfortunately, YoDa cannot be used with applications offered in SolisWorkspace. Software (i.e. SPSS) need to be installed locally on a device in order to able to mount YoDa.



RECOMMENDED: Upload data through the YoDa Portal
You can upload data with your browser from Android, iOS, Windows or macOS.

  • Go to the YoDa portal: https://fsw.yoda.uu.nl
  • Login with your Solis credentials
  • Skip this step if you are using a Windows or macOS device, click on the icon next to YoDa Portal
  • Click Research.
  • Go to the folder you would like to upload your data.
  • Click Upload > Upload files > Photo Library
  • Select the file(s) you would like to upload.


  • Using YoDa with iPod/iPad devices
    Our iPod/iPad devices can be used to record audio and/or video footage. To transfer the data from the device, you will need to use the YoDa storage. Below you will find instructions how to use YoDa with our iPod/iPad devices.

    Recording Video/Audio Using Camera App

    • To record audio and/or video footage, use the standard camera function on your iPod/iPad.
    • After recording, transfer the footage to the Files folder on your device. Locate the recording, press the share icon, select “Save to Files,” then choose “On my iPod.” The file will now be available for upload to YoDa.

    Recording Audio Using Voice Memo

    • Launch the Voice Memo app on your device.
    • Start and end the recording by tapping the red record button.
    • After recording, transfer the voice memo to the Files folder on your device. Locate the recording, press the share icon, select “Save to Files,” then choose “On my iPod.” The file will now be available for upload to YoDa.

    Using YoDa as a Data Storage Location

    • Open Safari and navigate to https://fsw.yoda.uu.nl.
    • Enter your UU credentials to log in.
    • Go to the ‘Research’ tab where you can upload, download, and review your data.

    Warning: If you open a file in the Yoda web portal, it will download to the download folder on your iPod/PC. Ensure you delete this file after reviewing and uploading it back to YoDa.

    Deleting Your Data

    • After moving the data to YoDa, you can delete the files from your iPod/iPad. To delete the local copy in Voice Memos or Photos, expand the audio/video recording and tap the trash can icon.
    • Go to Albums > Recently Deleted and permanently remove the file by tapping Delete. This will also occur automatically after 30 days.



    Mounting YoDa folder(s) as a network location
    If you would like to mount YoDa folder(s) as a network location, it will no longer work with your Solis-ID password (for UU employees or students) but will work with Data Access Passwords (DAP)* instead. To make use of YoDa after an approved request, please make sure to follow the instructions in How to setup DAP for YoDa. After you have configured your DAP you can use the instructions below.
    * DAP will only be valid for 30 days, so you will need to update your DAP every 30 days to make use of YoDa.


    Mount YoDa folder(s) with Windows**

    1. Make sure you're connected to the internet via an Ethernet cable or WiFi
    2. Make sure you have configured a Data Access Passwords (DAP)
    3. In Windows Explorer, click ‘This PC’
    4. Right click in an empty space of Windows Explorer, and choose: Add a network location
    5. Click Next
    6. Click ‘Choose a custom network location’
    7. Click Next
    8. Use the following address in Internet or network address: https://fsw.data.uu.nl/
    9. Click Next
    10. Login using your e-mail address and DAP password
    11. Now, you will find your encrypted storage for personal data in your list of drives

    ** Windows in combination with the WEBDAV protocol causes issues when using files larger than 50MB, but there are solutions for this problem. Please follow the instructions below:

    1. Use the shortcut [Windows key] + [R] and type regedit in the new prompt followed by ENTER
    2. In the Windows Registry Editor, locate and then click the following registry subkey:
    3. HKEY_LOCAL_MACHINE/SYSTEM/CurrentControlSet/Services/WebClient/Parameters
    4. Locate the DWORD FileSizeLimitInBytes
    5. On the Edit menu, click Modify
    6. In the Value data box increase the Value of FFFFFFFF (click Hexadecimal)
    7. Exit Registry Editor
    8. Restart your PC


    Mount YoDa folder(s) with macOS

    1. Make sure you're connected to the internet via an Ethernet cable or WiFi
    2. Make sure you have configured a Data Access Passwords (DAP)
    3. Click on Finder or on an empty space on your desktop
    4. Next press command (⌘) + k to open the connect-to-server dialog box
    5. Type https://fsw.data.uu.nl/ and press Connect*.
    6. Login as a registered user, using your e-mail address (all lowercase) and DAP password.
    7. You will now have access to your storage via Finder.

    *You can press the + symbol to store the network location for later use.



    What is OneDrive?
    OneDrive is a cloud storage service available for all employees of Utrecht University. This application provides an environment in which you can easily store documents and share them with collaborators. All documents can be accessed from any computer either via the webbrowser or via the OneDrive application. Any changes made to the documents are automatically synchronised upon saving. OneDrive is part of Microsoft Office 365 and it can provide a valuable platform to share files with your external collaborators.



    How to install OneDrive on your office laptop or desktop?

    1. Search for and open the ‘Software centre’ Application
    2. Search for Office, select and install the software
    3. If you experience any issues, please create a ticket in TOPdesk under (web)Applications. Or contact ITS by other means.

    Manually installing OneDrive on any system
    Every employee and student at Utrecht University has a license where you can install Microsoft Office 365 on 5 devices of your own. OneDrive can be installed separately. For more information please check this manual.



    What is the O-Drive?
    All employees of Utrecht University have access to a shared storage space part of the Mobile working environment. One of them is the O-Drive and can easily be accessed from different locations using VPN. In addition, there is a page where you can find a step-by-step manual about how to access the O-Drive.


    What is SURFdrive?
    SURFdrive is a cloud storage service available for all employees of Utrecht University. This application provides an environment in which you can easily store documents and share them with collaborators. All documents can be accessed from any computer either via the webbrowser or via the SURFdrive application. Any changes made to the documents are automatically synchronised upon saving. SURFdrive is available at many Dutch Universities and as such it can provide a valuable platform to share files with your external collaborators.



    How to install SURFdrive on your office laptop or desktop?

    1. Open the ‘Software centre’ Application
    2. Search for SURFDrive, select and install the SURFdrive software
    3. Open SURFDrive and login using your Solis-ID and password
    4. If you experience any issues, please create a ticket in TOPdesk under (web)Applications. Or contact ITS by other means.



    What is the Labshare or L-Drive?
    The Labshare is an open network location that can be used also be used to share experiments and anonymised data between the lab and your personal desktop. For example, you can run your experiment on multiple computers in the cubicles without having to transfer local copies of the experiment and collected data each time.



    Common issues with the Labshare (L-Drive)
    Below you will find a list of common issues with the Labshare (L-Drive).


    Data safety on the L-Drive
    It is important to note that the Labshare is a completely open network location, meaning that anyone working at FSW, and also anyone with access to a PC in the labs can access this data. As such, data containing non-anonymised participant data should not be stored on or transfers via the L-Drive.



    Connecting to the L-Drive on Windows

    1. Make sure you're connected to the internet via an Ethernet cable in your office, or via VPN on WiFi
    2. In Windows Explorer, click ‘This PC’
    3. Right Click in an empty space of Windows Explorer, and choose: Add a network location
    4. Click Next
    5. Click ‘Choose a custom network location’
    6. Click Next
    7. Use the following address in Internet or network address: hs-lab-fs01.fss.uu.nlsoplab
    8. Click Next
    9. Login using the correct credentials
    10. You will now have access to your storage via Windows Explorer

    Connecting to the L-Drive on Mac

    1. Make sure you're connected to the internet via an Ethernet cable in your office, or via VPN on WiFi
    2. Click on Finder or on an empty space on your desktop
    3. Next press command (⌘) + k to open the connect-to-server dialog box
    4. In the 'Connect to server' dialog box, type smb://hs-lab-fs01.fss.uu.nl/soplab and press Connect.
      *You can press the + symbol to store the network location for later use
    5. Login using the correct credentials
    6. You will now have access to your storage via Finder.



    What are Personal devices?
    In some cases research data is (temporally) stored on personal devices (external storage i.e. USB sticks, HDD). In general, we recommend against this practice. However, if there are no suitable alternatives, please follow these guidelines.



    Guidelines for safe data storage on personal devices

    1. Secure access by implementing a password or access code
    2. Encrypt the storage on your device (contact us for advice)
    3. Move the data to a UU device or the above mentioned dedicated storage options. Remove the data from the original device within 2 weeks from data collection
